EASY NOTES - THE MAGIC IS INSIDE


MORE THAN JUST E-MAIL ARCHIVING


EASY NOTES handles all Notes items and eases the load on the Notes database relieving it of data not permanently required. The net result is the database remains organized, clean and fast. Additionally, implementing the "Single Instance" function (removing duplicates) in EASY NOTES causes significant savings potential in the storage environment: mail items with attachments sent to multiple recipients are stored only once in the archive. Moreover, EASY NOTES completely serves the "Attachment and Object Service" (DAOS), available from IBM® Lotus Domino® 8.5 onwards, which saves e-mail attachments only once for all recipients. EASY NOTES guarantees the future, because the use of IBM® Lotus Notes® standards allows easy and quick future release upgrading.


EASY NOTES perfectly integrates with existing IBM® Lotus Notes®/Domino® environments on the server and user side. EASY NOTES stores e-mails and documents of any other applications in a revision-proof manner that is fully transparent to the user. During the archiving process, only a reference the size of a byte is left which appears to the user as an ordinary Notes document. Archiving not only ensures legal requirements are met; it also eases the load on the IBM® Lotus Domino® servers. This makes administrative processes, as well as maintenance actions, less time-consuming.

DEFINING YOUR OWN RULES

Configuration of the archiving feature in an IBM® Lotus Notes®/Domino® environment is pronouncedly versatile. Considering the specific IBM® Lotus Notes® structures, archiving can be performed to freely definable criteria. Thanks to the formula language, you can define your own archive rules without any third-party assistance. Either the user initiates archiving mail items and other documents manually, or it is automatically performed in the background directly on the IBM® Lotus Domino® Server.

ENTERPIRSE WIDE TRANSPARENCY

EASY NOTES Workspace guarantees convenient access to all non-IBM® Lotus Notes® information that has been archived through other deployed EASY applications. Moreover, the option for storing business process related Notes documents directly as TIFF or PDF document in the appropriate archives is available to the IBM® Lotus Notes® user. Thus, the corresponding information from the IBM® Domino®/Lotus Notes® environment is made available across applications throughout the company.
EASY NOTES Workspace provides a fully-fledged client for convenient access to EASY ENTERPRISE. This enables users to search and edit documents, as well as create new documents, in the archive directly from the IBM® Lotus Notes® interface. EASY NOTES Workspace facilitates conveniently managing IBM® Lotus Notes® documents along with information from non-Notes sources (e.g. documents from SAP systems) in customer and transaction files. Of course, IBM® Lotus Notes® documents such as order confirmations sent via e-mail, invoices or product data sheets can be stored in a project or customer file. Here EASY NOTES provides perfect support for users so that mail messages, in addition to convenient storage and search, are also assigned to a transaction in terms of contents. Concurrent search for both active and already archived data sets is a significant adjunct to the previously known IBM® Lotus Notes® filter mechanisms.

STATE OF THE ART

The introduction of Eclipse as a client platform for IBM® Lotus Notes® has made Java development under IBM® Lotus Domino® increasingly more important. From version 3.0 onwards, EASY NOTES already uses these current standards. Users of IBM® Lotus Notes® 8.5 or higher can use the plug-ins that come withEASY NOTES, such as the EASY NOTES Sidebar. So this helps them configure their work environment even more conveniently and efficiently.

MOBILITY TROUGH EASY NOTES

Considering local replication policies, EASY NOTES offline synchronization allows each user to synchronize archived e-mail messages cyclically and to specific criteria, using the EASY ENTERPRISE Server. Thus archived documents, even without existing network connections, are available anytime. On no account need users do without the traditional comfort of the full text search engine. All synchronized e-mails and their attachments can also be searched offline.


Supported by IBM® Lotus® iNotes™, direct access to archived documents is now available to EASY NOTES users also when using the browser-based IBM® Lotus Notes® version. In case Domino Web Access 8.0.2 is installed on the server side, even iPhone owners can now access their mailbox and archived documents.

EASILY EXTENDIBLE
The Software Development Kit (SDK) that comes with the product gives you even more freedom with integrating archiving functionalities in project-specific applications. The interface functions have been implemented as easy-to-start functions. The SDK allows implementing individual project requirements exceeding the far-reaching EASY NOTES standard anytime, both on the front-end and back-end side.
